How Many Tables and Chairs Do You Actually Need?
The most under-ordered items at outdoor events are tables and chairs. People focus on the tent, the bounce house, the entertainment — then realize the day before that 30 guests have nowhere to sit and eat. Don't let that be you.
Here's the definitive guide to ordering the right quantity and style for your event.
The Chair Rule
Order chairs for 80% of your guest list. Not everyone sits at the same time — kids are playing, adults are standing in groups, people rotate. But 80% ensures nobody is standing when they want to sit.
Example: 50 guests → order 40 chairs. 100 guests → order 80 chairs.
Exception: formal seated dinners (weddings, quinceañeras) → order 100% plus 5-10 extras for head table, DJ, caterers, etc.
Chair Options and When to Use Them
Folding Chairs — $2 each
- Standard white resin folding chairs
- Best for: birthday parties, church events, casual gatherings, block parties
- Comfortable for 2-3 hours of sitting
- The value champion — seats 50 guests for just $100
Chiavari Chairs — $8 each
- Elegant gold ballroom-style chairs
- Best for: weddings, quinceañeras, formal dinners, upscale corporate events
- The single fastest way to make any event look expensive
- Photograph beautifully — your event photos will thank you
- 50 chiavari chairs = $400 vs. $1,000+ from specialty rental companies
Table Options
Rectangular Tables (6ft) — $10 each
- Seats 6-8 people
- Best for: buffet lines, craft stations, family-style dining
- Efficient use of space — more seats per square foot than round
- Perfect for tight tent spaces
Round Tables (60 inch) — $12 each
- Seats 8-10 people
- Best for: formal dining, wedding receptions, banquets
- Promotes conversation — everyone faces each other
- More elegant feel than rectangular
- Requires more floor space (8 ft diameter including chairs)
How Many Tables by Event Type
- Birthday party (20 guests): 3 rectangular tables (2 for eating, 1 for gifts/cake)
- Graduation party (50 guests): 5-6 rectangular tables + 1 for buffet
- Wedding reception (80 guests): 8-10 round tables + 2 rectangular for head table and buffet
- Quinceañera (100 guests): 10-12 round tables + 2-3 rectangular for food and gifts
- Corporate event (60 guests): 8 round tables (more professional look)
Layout Tips
- Leave 5-6 feet between tables for chair pushback and walkways
- Put food tables near the tent entrance — reduces traffic through seated areas
- Position the cake/dessert table where everyone can see it but it's not in the walkway
- For kids' parties, set up a separate kids' table close to the bounce house
- Round tables in a tent? Place them in a staggered pattern, not a grid — better flow and sightlines
"I almost ordered 4 tables for our graduation party. Pepe's recommended 6 based on our guest count — they were right. We used every single one. Glad I listened." — Karen J., Stafford VA
