Getting the Right Tent Size — It's Not Just About Guest Count

The most expensive tent mistake isn't renting a tent that's too big — it's renting one that's too small. When your event is cramped, guests feel it. Tables are too close, the buffet line blocks the entrance, and there's no room to dance or move. A tent that's slightly larger than you think you need always works better than one that's barely adequate.

Use this guide to calculate exactly what size you need.

Step 1: Count Your Guests (Realistically)

Take your invitation list and multiply by 0.75-0.85 — that's your realistic attendance. A 100-person invite list typically produces 75-85 guests. Plan your tent for the higher number plus a 10% buffer.

Step 2: Determine Your Event Style

How people use space changes dramatically by event type:

  • Seated dinner (banquet): 12-15 sq ft per person — round tables with full place settings
  • Seated casual (family-style): 10-12 sq ft per person — rectangular tables, casual seating
  • Cocktail reception: 8-10 sq ft per person — mostly standing, high-top tables
  • Ceremony only: 8 sq ft per person — rows of chairs, center aisle
  • Mixed (dinner + dance floor): 15-18 sq ft per person — add 100-200 sq ft for the dance floor

Step 3: Add Space for Extras

Don't forget these elements that eat floor space:

  • Buffet/food station: 40-60 sq ft
  • DJ or band setup: 80-120 sq ft
  • Dance floor: 100-200 sq ft (our portable dance floor is ~150 sq ft)
  • Bar or drink station: 30-50 sq ft
  • Gift/cake table: 20-30 sq ft
  • Entry/exit flow: 30-50 sq ft
  • Ceremony arch or backdrop: 30-40 sq ft

Layout Tips

  • Round tables need more space than rectangular — budget 15 sq ft/person for round, 10 for rectangular
  • Leave 5 feet between the tent edge and the first row of tables — guests need to move
  • Put the dance floor on a short end, not in the middle — it disrupts traffic flow less
  • Buffet lines work best along a long wall, not at a short end — prevents bottlenecks
  • If using sidewalls, leave at least 2 open sides for entry, exit, and airflow
