The Complete Summer Party Checklist
Summer in Stafford and Northern Virginia means cookouts, pool parties, birthday celebrations, and family reunions. The weather's hot, the kids are out of school, and everyone's looking for a reason to get together. But a great summer party doesn't happen by accident — it takes planning.
Use this checklist to make sure you've covered every base.
4 Weeks Before Your Party
- Set your date — Saturday or Sunday? (Saturday is busier for rentals, book early)
- Choose your guest list and send invites (text, Evite, or paper)
- Book your party rentals — bounce houses, water slides, and tents book out 2-4 weeks ahead in summer
- Reserve any venue space (pavilion, park shelter) if not doing backyard
- Plan your menu — grilling? Catering? Potluck?
2 Weeks Before
- Confirm rental booking — we'll call you 2 days before, but a quick check never hurts
- Stock up on non-perishable supplies: plates, cups, napkins, utensils, trash bags
- Buy sunscreen, bug spray, and a first aid kit
- Check your yard: mow the lawn, clear the bounce house setup area, test the hose
- Plan for shade — if you don't have a tent, set up pop-up canopies over food tables
- Make a playlist or charge your Bluetooth speaker
1 Week Before
- Check the weather forecast — if rain is likely, make sure you have a tent booked
- Buy beverages: water bottles, juice boxes for kids, cooler drinks for adults
- Confirm headcount and adjust food quantities
- Prep any make-ahead food (coleslaw, pasta salad, marinades)
- Charge your phone and camera — you'll want photos
Day Before
- Clean your bathroom(s) — guests will use them
- Set up any decorations that won't blow away overnight
- Freeze water bottles — they double as ice packs in coolers
- Prep burger patties, cut fruit, make dips
- Clear the driveway/street for our delivery truck access
- Set up trash and recycling stations outside
Day Of — Morning
- Our crew arrives 2-3 hours before your party to set up everything
- Set up food tables, condiment stations, and drink coolers
- Put sunscreen and bug spray at a visible station
- Put up any remaining decorations and signs
- Fill coolers with ice
- Test speakers and playlist
- Take a deep breath — you've got this
During the Party
- Assign a friend or family member to bounce house supervision (20-min shifts)
- Refill ice and drinks every 90 minutes
- Grill in batches so hot food stays hot
- Start the water slide by late morning — it takes a few minutes to wet the surface
- Take photos! You'll thank yourself later
- Keep the cake inside or in shade until serving time — frosting melts fast in Virginia heat
After the Party
- Our crew picks up all rental equipment — you don't touch it
- Throw away food that's been sitting in heat for 2+ hours
- Send a group text thanking everyone for coming
- Post photos — your guests will love tagging themselves

- Ice — buy twice what you think you need. 10 lbs per 5 guests minimum
