Why Every Outdoor Event in Virginia Needs a Tent
Virginia weather is beautiful — until it isn't. We've seen sunny mornings turn into afternoon downpours in June, and we've seen October events go from crisp and perfect to 40°F and windy by 6pm. If you're planning any outdoor event in Stafford, Fredericksburg, or anywhere in Northern Virginia, a tent isn't a luxury — it's insurance.
Here's everything you need to know about planning, sizing, and setting up an event tent.
How to Choose the Right Tent Size
The most common mistake: renting too small. You need space for furniture, food stations, movement, and a dance floor or activity area. Use this formula:
Seated dinner: 12-15 sq ft per guest
Cocktail/standing: 8-10 sq ft per guest
Mixed (tables + activity area): 15-20 sq ft per guest

Where Can We Set Up?
- Grass/lawn: Ideal — stakes anchor securely. Avoid low spots that puddle
- Concrete/asphalt: We use weighted anchors instead of stakes
- Gravel: Works fine with extra-long stakes
- Deck/patio: Not recommended for staked tents — ask us about alternatives
Ground Prep Checklist
- Mow the grass before we arrive
- Mark any underground utilities (sprinkler lines, septic, electrical)
- Clear vehicles and furniture from the setup area
- Ensure a vehicle path for our delivery truck to reach the site
- Level the area if there's a significant slope (more than ~6 inches across the tent footprint)
Weather Planning
Rain
Our tents are waterproof — not water-resistant, waterproof. Sidewalls can be added for wind-driven rain. The only rain scenario that forces cancellation is severe thunderstorm warnings with dangerous winds (sustained 40+ mph).
Wind
Tents are properly staked and anchored to handle normal Virginia winds (up to 25-30 mph gusts). In high-wind forecasts, we'll secure additional anchoring. If conditions become dangerous, we'll work with you on timing adjustments.
Heat
Open-sided tents provide shade while allowing airflow — much cooler than direct sun. For enclosed setups, leave at least two sides open for ventilation. Consider adding fans if temps exceed 90°F.
Cold
Fall and winter events? Our patio heaters ($60 each) turn a tent into a warm, inviting space. Two heaters cover a 20x20 tent comfortably. For larger tents, add one heater per 200 sq ft.
Tent Layout Tips
- Place the food/buffet station nearest to the house or kitchen access
- Put the dance floor on the end farthest from dining — noise travels
- Leave 3-foot aisles between table rows for guest movement
- Position the tent so the open side faces the best view, not the neighbor's fence
- If using sidewalls, keep at least one side open for entry/exit airflow
