How do I figure out what size tent I need?

Why do tent listings say more guests than the chart?
Because a party isn't always a sit-down dinner. The guest counts on Pepe's tent pages, like 50 to 60 for the 20x30 or 80 to 100 for the 20x40, fit a casual party where people come and go, stand around the food and spill out onto the lawn. That's how most backyard birthdays and graduation parties actually run. If your event is a wedding reception, a quinceañera dinner or anything where every guest sits at a table at the same time, plan with the seated column instead. When it's close, size up. You can always spread tables out under a big tent, but there's no fixing a small one once the guests arrive.
How much bigger does the tent need to be for a dance floor?
Add the dance floor's square footage to your seating space. Pepe's Party Rental dance floors come in four sizes: 12x12 for $350, 15x15 for $425, 18x18 for $500 and 21x21 for $550. A 12x12 floor is 144 square feet, which is the space of about 7 to 9 seated guests at 15 to 20 square feet each. A 21x21 floor is 441 square feet, almost a whole 20x20 tent by itself. So a 60-guest seated wedding with a 12x12 floor needs roughly 900 to 1,200 square feet of seating plus 144 for dancing, which points to a 20x60 tent at minimum, or a 20x80 if you want room to breathe. How many tables fit under each tent?
