How Many Tables and Chairs Do I Need? A Guest-Count Chart With Real Prices

The math takes one minute. The mistake everybody makes is forgetting the four tables that never get a chair. Here's the chart, the forgotten tables, and what it all costs.

Here's the mistake we see every single weekend. Somebody counts 50 guests, orders 50 chairs and 9 tables, and feels great about it.

Then the food shows up. And the drinks. And the cake. And a pile of gifts. And suddenly there are 50 people holding plates with nowhere to put them, because every table has six chairs around it. Here's how to get the count right the first time.

How many tables and chairs do I need for my party?

Rent one chair per guest, plus about 5% extra for the cousin nobody mentioned. Then plan seating tables by size: a 6 ft rectangular table seats 6, an 8 ft table seats 8, and a 60 inch round seats 8. Divide your guest count by the seats per table and round up. Finally, add 2 to 4 tables that nobody sits at, for food, drinks, cake and gifts. That last step is the one that saves the party.

This chart uses 6 ft tables for seating, with the extra tables for food and gifts already added. Prices are Pepe's Party Rental's: folding chairs $2 each and tables $9 each.

Which extra tables do people forget?

Four tables never get a chair, and every party needs at least two of them:

• Food. One 8 ft table for a small buffet. Over 75 guests, use two so the line keeps moving.
• Drinks. One table, away from the food, so the drink crowd and the plate crowd don't collide.
• Cake and dessert. One small table where the photos happen.
• Gifts and cards. One table near the entrance, for birthdays, showers, graduations and quinceañeras.

A cookout with no cake and no gifts needs two. A birthday or a quinceañera needs all four.

Rectangle or round tables?

Rectangular tables fit more people in less space, and they are the cheapest at $9 each for 6 ft or 8 ft. They're the right pick for cookouts, birthdays, graduations and any party under a tent where every foot counts. Round tables look more formal and make conversation easier, which is why weddings and quinceañeras use them. Our 60 inch round seats 8 (10 if snug) for $12, and the 48 inch round seats 6 for $10.

Which chair should I rent?

For a cookout, birthday or graduation, the white folding chair at $2 does the job. For a wedding or a quinceañera, guests notice the chair. The white resin folding chair is $4 and looks cleaner in photos. The gold chiavari chair is $5 with a cushion, and it's the one that makes people ask who did your rentals. For 100 guests the difference is $200 (folding) versus $500 (chiavari).

For 50 seated guests, plan 9 tables of 6 ft (or 7 tables of 8 ft) for seating, plus 3 more for food, drinks and cake. That is 12 tables and 53 chairs (50 plus a few extra), which costs $214 at Pepe's Party Rental, with free delivery within 25 miles of Stafford.

How many people sit at a 6 ft table?

Six people sit comfortably at a 6 ft rectangular table, three on each side. You can squeeze 8 if you put one person on each end, but plates and elbows get crowded.

How many people sit at a 60 inch round table?

Eight people sit comfortably at a 60 inch round table, and 10 fit if it is a buffet meal without big centerpieces. A 48 inch round seats 6.

Should I rent extra chairs?

Yes, about 5% extra. For 100 guests that is 105 chairs. At $2 a chair, five extras cost $10, which is a lot cheaper than Grandma standing.

Do you deliver just tables and chairs?

Yes. Orders of $150 or more get free delivery and setup within 25 miles of Stafford. Under $150 there is a $35 delivery fee, so 60 chairs and 4 tables ($156) delivers free, while 50 chairs and 5 tables ($145) pays $35.
